Many associations are digitizing. Why aren't processes getting any easier anyway?
Managing members, organizing events, generating invoices, sending newsletters, coordinating committees—in recent years, many associations have significantly advanced their digitalization efforts. Yet, staff often report a very different day-to-day reality: duplicate data entry, reliance on Excel spreadsheets, disjointed workflows, and time-consuming manual processes remain part of the daily routine.

Digitalization goes beyond just new software

The real problem lies in a lack of proper processes
Digitalization does not automatically equate to efficiency. Genuine improvements only emerge when processes are designed with an end-to-end approach.
Consider this example: A new member registers online. Ideally, the system automatically captures the data, assigns the appropriate membership status, generates access credentials, triggers a welcome message, creates invoices, and notifies the relevant contacts—all without multiple staff members having to re-enter the same information.
It is precisely at these points of transition that many associations experience unnecessary friction. Often, what is missing includes:
- a central database
- automated processes
- clear lines of responsibility
- interfaces between the systems in use
- transparent analyses to support decision-making
Consequently, the real challenge rarely lies in any single software solution. What matters most is how all the applications interact and share information.
Modern associations are rethinking their processes
An increasing number of associations are therefore adopting a different approach. Instead of introducing yet another isolated solution for every task, they are creating a central platform where information converges and processes are automated. This results in more than just greater operational efficiency; staff gain time to focus on the association’s core mission: supporting members, developing new services, and driving the organization’s strategic evolution.
At the same time, data quality improves significantly. Decisions are based on up-to-date information, the need for duplicate data entry is eliminated, and all stakeholders work from a unified data set.
Digitalization is not an IT project; it is organizational development
Consequently, the most successful digitalization projects do not begin by asking which software to adopt next. They start by examining existing processes. Where do unnecessary steps currently occur? Which data is being entered multiple times? Which tasks can be automated? And which systems need to communicate with one another in the future?
Only once these questions have been answered can a digitalization strategy be formulated—one that relieves the burden on the association in the long term while simultaneously creating room for further growth.
